CruxiCostes
Cost Management for Artisan Bakeries

1. What is CruxiCostes?
CruxiCostes is a web application designed specifically for bakeries, production workshops, and artisanal pastry shops that want to know the actual cost of each of their products.
Unlike a spreadsheet, CruxiCostes works directly in your browser, from any device with an internet connection. It does not require installation, does not depend on the computer and is always up to date.
What's the point?
-
- ✓ Calculate the actual cost of each recipe: ingredients, energy, labor, and workshop overheads.
- ✓ Manage your catalog of ingredients and packaging with up-to-date prices.
- ✓ Set selling prices with the profit margin of your choice.
- ✓ Determine the cost per kilogram of each preparation.
- ✓ Have a complete technical data sheet for each recipe.
CruxiCostes is neither invoicing nor accounting software. Its function is to help you make pricing decisions based on actual costs.
2. First steps

2.3 Complete your profile
The first time you access the application, the system will ask you to complete your business details before continuing:
- Registered company name (legal name of the company).
- Tax identification number.
- Contact person
- Phone / WhatsApp
- Country and operating currency
⚠ You will not be able to access the rest of the application without completing this information.
3. Initial setup
Before you start working with recipes, it is important to correctly configure the Settings section. This ensures that cost calculations are accurate.
3.1 Company details
Go to Settings → Company details. Here you can fill in or update your business details: address, website, currency, etc.
3.2 Economic conditions
Go to Settings → Financial terms. This section is essential for correctly calculating costs.
- % Set Profit: This is the margin percentage automatically applied to all items when calculating the selling price. For example, if you enter 50%, the selling price will be the total cost multiplied by 1.5.
You can adjust the margin individually for each item without changing this global value.
- Sales price rounding: Indicates the multiple to which the sales price is rounded. For example, with a rounding of 100 CRC, a calculated price of 1,847 CRC is rounded to 1,900 CRC.
- Production Calendar: Enter the number of working days per week and hours worked per day. Based on this data, CruxiCostes automatically calculates the available monthly hours, which are used to allocate energy, fixed, and variable costs to each hour of production.
3.3 Suppliers
Go to Settings → Suppliers. Here, you can register all your suppliers along with their contact information. Linking ingredients to suppliers allows you to keep more precise track of your purchases.
3.4 Ateliers (workshops)
If you work with multiple production areas (for example, a main workshop and a pastry workshop), you can create them here. Each recipe can be assigned to a specific workshop.
3.5 Labor factors
Labor factors allow you to weight production time based on the product type. For example, a laminated baguette requires more time than a loaf of sandwich bread. You can create factors such as "Laminated (3.0)," "Large loaf (1.0)," etc.
4. Monthly expenses
This is one of the most important sections. Here, you enter all the fixed and variable costs for your production facility. CruxiCostes allocates them proportionally across production hours and includes them in the cost of each recipe.
4.1 Energy
Enter your monthly electricity, gas, fuel, and water bills. Cruxicostes calculates the energy ratio per hour of work.
Update these values when your bills change to keep the calculations up to date.
4.2 Fixed costs
It includes items such as rent, taxes, municipal levies, communications, insurance, outsourced services, and financial expenses.
Insurance costs can be entered as an annual amount—the application automatically divides the figure by 12 to calculate the monthly portion.
4.3 Variable expenses
It includes office supplies, cleaning supplies, maintenance, advertising, and other variable expenses for the month.
4.4 Personnel costs
Enter the salaries of your team indicating the type of payment: weekly, biweekly or monthly. The application calculates the total monthly cost automatically.
You must also enter the employer's social security contributions and the occupational risk tax.
The resulting staffing ratio is included in the labor cost of each recipe based on its labor factor.
5. Ingredients
The ingredients module is the heart of CruxiCostes. Here, you register all the products used in your preparations, along with their current prices.
5.1 Create an ingredient
- Go to Ingredients → + New ingredient.
- Write the name of the ingredient (e.g., T65 wheat flour).
- Select its family (e.g., flours) and type.
- Associate a provider if you wish.
- Enter the packaging description (e.g., 25 kg bag).
- Select the unit of measurement (kg, l, unit...).
- Enter the weight or volume of the container and its price.
- Indicate the percentage of loss, if applicable.
- Put the ingredient away.
The system automatically calculates the cost per unit (cost/kg, cost/l, etc.) based on the price and weight of the container.
5.2 Update prices
When a supplier raises the price of an ingredient, edit the ingredient and update the container price. All recipe calculations using that ingredient will update automatically.
⚠ It is essential to keep ingredient prices up to date so that recipe costs are reliable.
5.3 Search and filter
Use the name search and the family and supplier filters to quickly find any ingredient in your catalog.
6. Packaging
The packaging module allows you to register all the packaging materials you use: boxes, bags, labels, tape, etc. The system automatically calculates the cost per unit. This cost is used when adding the packaging to an item.
6.1 Create packaging
- Go to Packaging → + New package.
- Enter the name of the container (e.g., 18x12x8 kraft box).
- Select its packaging family.
- Asocia un proveedor si lo deseas.
- Select the unit of purchase (unit, box, roll...).
- Enter the purchase price and the units per package.
- Keep the container.
6.2 Packaging families
You can create families to organize your packaging (e.g., cardboard boxes, bags, labels). Go to Settings → Packaging families.
7. Recipe Collection
The recipe manager is where you create and manage all your preparations. CruxiCostes automatically calculates the cost of each recipe in real time as you enter the ingredients.
7.1 Types of recipe
- Product recipes. Product recipe: the finished preparation intended for sale (bread, cake, brioche, etc.).
- Semi-elaborados. Semi-prepared: intermediate preparation that is used as an ingredient in other recipes (pastry cream, sourdough, preferment...).
7.2 Create a recipe
- Ve a Recetario → + Nueva receta (o + Nuevo semi-elaborado).
7.3 Baker's totals
At the bottom of the recipe form, CruxiCostes automatically displays:
- Total flour (kg): sum of all ingredients in the Flour family.
- Total liquid (l): sum of water and other liquids.
- % Hydration: ratio of liquids to flour.
- Total dough weight (kg).
- Total cost of raw materials.
- Cost per kilogram of dough.
7.4 Items and packaging
Within each product recipe, you can create derived items—the units you ultimately sell. For example, a baguette recipe can generate 250g, 500g, and 1kg items.
For each item, you enter the weight, labor factor, cooking time, and packaging. CruxiCostes calculates the total cost and the suggested selling price.
8. Items and selling prices
La sección de Artículos muestra todos los productos finales con su coste completo (materias primas +energía + mano de obra + gastos fijos y variables) y el precio de venta calculado.
8.1 Cost components
- Raw material cost: cost of raw materials (ingredients).
- Labor cost: labor cost based on the factor and production hours.
- Energy cost: proportional share of energy expenses.
- Fixed costs: proportional share of the workshop's fixed costs.
- Variable expenses: proportional share of variable expenses.
- Total cost: sum of all the above.
8.2 Sale price
The selling price is calculated by applying the profit percentage specified in the Economic Conditions to the total cost. If taxes (VAT or others) apply, they are added to the final price.
The resulting price is rounded to the configured multiple to facilitate collection at the point of sale.
8.3 Recalculate prices
When you update the price of an ingredient or modify expenses, click the "Recalculate prices" button in the Items section. This updates the cost of all items with the latest data.
It is advisable to calculate prices whenever you receive a supplier invoice with new prices.
